Privacy Policy

Last updated: September 25, 2026

This policy explains what personal information WarTable, LLC ("WarTable," "we," "us") collects, why, who we share it with, and the choices you have. It covers our website at wartable.ai, the WarTable app at app.wartable.ai, and the chat assistant on our website.

The short version

  • We collect what you give us, what your connected apps share with your workspace, and basic analytics about how our website is used.
  • We use it to run WarTable, to reply to you, and to improve our product and website.
  • We don't sell your personal information, and we don't use your content to train AI models.
  • We share it only with the service providers that help us run WarTable, and only for that purpose.
  • You can ask to see, correct, export or delete your information at any time by emailing privacy@wartable.ai.

What we collect

Information you give us

  • Account details: your name, email address and sign-in method when you create an account.
  • Forms on our website: what you enter when you take the Business Health Index quiz or an industry quiz, sign up for our newsletter, join the WarTable Human waitlist (including your confirmation that you're 18 or older), request an introduction for business systems work, apply to our affiliate program, apply for a job, or book a call. This can include your name, email, phone number, company, website, your quiz answers and scores, and anything you write in a message.
  • Calls and chats: the details you give when you book a briefing or demo, and the conversation you have with the chat assistant on our website.
  • Your workspace: the documents, notes, messages, routines, workflows and other content you add to WarTable, and what you ask Athena and your agents.
  • Travel details: if you use Travel, the bookings you add. Sensitive travel details such as passport and loyalty numbers get an extra layer of encryption.
  • Payment details: payments are handled by Stripe. Your card number goes straight to Stripe, and WarTable never sees it.
  • Support and feedback: what you send us when you contact support or rate a response.

Information from apps you connect

When you connect a tool such as your CRM, email or project management app, WarTable reads the data you authorize so it can map your business, score your Business Health Index and let your agents work. You choose which apps to connect and which actions your agents may take in each one, and you can disconnect an app at any time. Most connections run through an integration platform, which holds their login tokens. Credentials for custom connectors are stored with an extra layer of encryption.

Information collected automatically

  • Usage and device information: pages visited, links clicked, browser and device type, and an approximate location based on your IP address.
  • Campaign information: if you arrive from an ad or a link with tracking tags, we note the source (for example UTM tags, a Google Ads click ID, the referring site and the page you landed on). We keep this in your browser for up to 90 days, only while analytics is allowed, and attach it to a form or booking you submit so we know which channels work.
  • Cookies: see "Cookies and analytics" below.

We don't ask for sensitive information such as health records, government ID numbers or financial account numbers. Please don't put that kind of information into WarTable, a form or a chat.

How we use it

  • To provide WarTable: running your workspace, your agents and the features you use.
  • To reply to you: answering questions, sending your quiz results, and scheduling and running calls.
  • To send you emails you've signed up for, including our newsletter (see "Emails and texts" below).
  • To bill you and manage your subscription.
  • To keep WarTable secure, prevent fraud and abuse, and fix problems.
  • To understand how our website and product are used, so we can improve them.
  • To meet legal obligations and enforce our Terms of Service.

AI features

When you use Athena, your agents or other AI features, we send the content needed for that request to AI model providers through OpenRouter. That content can be your question, relevant files and knowledge-base entries, and results from your connected apps. The providers include Anthropic, OpenAI and Google, and they process it to generate a response. Athena also keeps a long-term memory of useful context from your conversations, so it can help you better over time.

We don't use your content to train or fine-tune AI models. If that ever changes, we'll update this policy and ask for your permission first.

The chat assistant on our website runs on GoHighLevel, which uses AI models to generate its replies. It only sees what you type into the chat and what's on our website. It can't see your workspace.

Who we share it with

We don't sell your personal information, and we don't share it for cross-context behavioral advertising. We share it only in these cases.

Other cases

  • Freestyle Consulting: if you use the "Request an introduction" form on our pricing page, we share what you submit with Freestyle Consulting, our business systems partner, so they can scope the work. The form says so before you send it.
  • Your workspace: content in a workspace can be seen by its members. The workspace owner and admins control who has access.
  • Legal reasons: when the law requires it, or to protect the rights, safety or property of WarTable, our users or others.
  • Business changes: if WarTable is involved in a merger, acquisition or sale of assets, your information may transfer as part of it. This policy would continue to apply.
  • With your permission: in any other case, only if you ask us to or agree to it.

Cookies and analytics

Our website uses cookies and similar browser storage for analytics (Google Analytics and Ahrefs) and for the chat assistant. How we ask depends on where you are:

  • In the EU, EEA, UK or Switzerland: nothing non-essential runs until you accept it in the cookie banner.
  • Everywhere else: analytics is on by default, and you can turn it off at any time with Privacy choices at the bottom of every page.
  • Global Privacy Control: if your browser sends a Global Privacy Control signal, we treat it as an opt-out of analytics unless you've made a different choice.

Advertising cookies and ad personalization are off by default. The WarTable app uses cookies to keep you signed in.

Emails and texts

  • Newsletter: taking the Business Health Index quiz or an industry quiz, or signing up in our footer, adds you to our newsletter, and the form tells you so before you submit. Other forms, such as careers and affiliate applications, have a newsletter checkbox that starts unticked, so you only get the newsletter if you tick it. Every email has an unsubscribe link.
  • Other emails: we send emails about your account, your quiz results, calls you've booked and your subscription. These aren't marketing, so they continue while you have an account or an open request.
  • Texts: we text you only if you agree, for example to receive reminders about a call you've booked. Message and data rates may apply. Reply STOP to opt out.

Where your information is stored

WarTable is based in the United States, and the WarTable app runs on Google Cloud in the US (us-central1). Some of our service providers process information in other countries. If you're outside the US, your information will be transferred to the US. Where the law requires it, we rely on safeguards such as the European Commission's Standard Contractual Clauses, provided through our service providers' data processing terms.

How long we keep it

  • Your account and workspace: for as long as your account is open. To have your account and workspace data deleted, email privacy@wartable.ai from your account's address. We'll confirm the request and delete it within 90 days. Before that, you can ask for an export of your workspace data.
  • Website leads and contact records: for as long as they're useful for replying to you and following up, or until you ask us to delete them.
  • Campaign information in your browser: up to 90 days.
  • Records we have to keep: billing and tax records, records that you agreed to our terms, and anything we need to resolve disputes or meet legal obligations, for as long as the law requires, even after the rest of your account is deleted.

Backups roll off on their normal schedule after deletion.

How we protect it

All traffic to WarTable is encrypted, and files in your workspace open only through short-lived private links. No system is perfectly secure, so if we learn of a breach that affects you, we'll tell you as the law requires. Our Security page has the details.

Your choices and rights

You can:

  • See the personal information we hold about you, and get a copy of it
  • Correct anything that's wrong
  • Delete your information, or close your account
  • Export your workspace data
  • Opt out of marketing emails, texts and website analytics at any time
  • Opt out of the sale of your information or its use for targeted advertising. We don't do either, but the right is yours.

To make a request, email privacy@wartable.ai from the address on your account, or tell us which email you used. We may need to confirm it's you before we act. We'll reply within 45 days, or sooner where the law requires, and we won't treat you differently for using these rights. You can use an authorized agent to make a request for you.

If you live in a US state with a privacy law

California, Colorado, Connecticut, Virginia, Texas and several other states give residents the rights above. If we decline your request, you can appeal by replying to our answer, and we'll respond within the time your state's law sets. If your appeal is denied, you can contact your state's attorney general.

If you're in the EU, EEA or UK

We process your information to provide the service you signed up for (contract), with your consent (for example, analytics cookies and the newsletter), for our legitimate interests in running and improving WarTable and replying to enquiries, and to meet legal obligations. You also have the right to object to processing and to restrict it. You can withdraw consent at any time. You can complain to your local data protection authority, though we'd appreciate the chance to fix things first.

Children

WarTable is for businesses and people 18 and older. We don't knowingly collect information from children. If you believe a child has given us information, email privacy@wartable.ai and we'll delete it.

Health information and HIPAA

WarTable isn't designed to store protected health information, and we don't sign Business Associate Agreements. If you run a clinic or health practice, don't add patient records or other protected health information to WarTable or send it through our website.

Changes to this policy

When we update this policy, we'll change the date at the top of this page. If the change is significant, we'll also tell you by email or in the app before it takes effect.
